We are pleased that you are interested in us and that you are applying or have applied for a position in our company. We ask you to preferably use the online form provided on the website for your application. This will enable you and us to exchange information quickly and, in particular, securely. You can also send your application by e-mail or by post. Please note that sending by e-mail involves risks with regard to data security.

In the following, we would like to provide you with information on the processing of your personal data in connection with an application.

What data of yours do we process and for what purposes?

We process the data you have sent us in connection with your application in order to assess your suitability for the position (or other open positions in our companies, if applicable) and to carry out the application process. As part of the selection process, we conduct an assessment center for certain positions. We also collect personal data there for the purpose of selecting applicants.

If you apply via the online contact form, the following data may be processed:

– Salutation, title, first name, last name

– Contact details (name, address, e-mail, phone number)

– earliest possible entry date

– Salary requirements

– Resume, cover letter  and further documents can be uploaded in the appropriate field

– Recruiting channel

– Age verification

 

Fields marked with an asterisk are mandatory. Please note that we need this information to process your application. Without the mandatory information, the application form cannot be sent. Fields marked without an asterisk are voluntary details that you provide to us. The information on the recruiting channel is a mandatory field for technical reasons. It has no influence on the individual application process, but serves to control and improve our recruiting campaigns. If you do not wish to provide any information in this regard, please select the corresponding option here. This has no negative impact on the selection process.

We use the e-Recruiting “Concludis” from concludis GmbH, Auen Weg 3, 50679 Cologne as part of our application management. The CVs and attachments uploaded to the applicant platform are processed using text recognition software and the recognized content is saved to the applicant’s data record. The data transmitted in electronic text form is transferred into a standardized structure and format (parsing). concludis GmbH and the subcontractors used act as processors bound by instructions and may only process applicant data to the extent necessary to fulfill their performance obligations.

 

What is the legal basis for this?

The legal basis for the processing of your personal data in this application procedure is primarily art. 6 section 1 lit. b) GDPR. According to this, the processing of personal data required in connection with the decision on the establishment of an employment relationship is permissible. We use the information about how you became aware of our company or the position for internal analysis and to improve our recruiting processes. This is our legitimate interest within the meaning of Art. 6 para. 1 lit. f) GDPR. If you do not wish to provide any information in this regard, you are free to do so. If you give us your consent to include your data in our talent pool for future vacancies, the storage and use for this purpose is based on Art. 6 para. 1 lit. a) GDPR. You have the right to withdraw this consent at any time without any adverse consequences for you. Please send your revocation to the email of the contact person or the contact details given in the imprint or in this data protection information.

Should the data be required for legal prosecution after completion of the application process, data processing may take place to safeguard legitimate interests pursuant to Art. 6 (1) f) GDPR. Our interest then consists of asserting or defending claims (e.g. under the AGG).

 

How long will the data be stored?

In the event of rejection, we will return your application documents after the selection process has been completed. In this case, we will keep your application documents for six months. If you have sent us your application documents electronically, we will delete the data after six months in the event of rejection.

In the event that you have agreed to further use and storage of your personal data, we will transfer your data to our talent pool. There, the data will be deleted after a maximum of 1 ½ years.

If you are awarded a position during the application process, the necessary data from the applicant data system will be transferred to our HR information system.

Will your data be shared?

We conduct our selection process in-house with our own personnel. As a matter of principle, only those persons in the company who require your data for the proper conduct of the application process are given access to it. Our employees are bound to confidentiality and trained on the subject of data protection. The processor we use may have access to applicant data from the Concludis applicant platform insofar as this is necessary for the provision of the services described above or associated services and support.

Where is the data processed?

The data is basically processed on our in-house IT systems. Suitable technical and organizational measures protect the data against unauthorized access or data loss.

The applicant management system is operated by concludis GmbH on behalf of GKD Gebr. The software is hosted on servers of the company Hetzner Online GmbH, Industriestr. 25 in 91710 Gunzenhausen in the data centers within the EEA.

There is no transfer to third countries.

Your rights as a “person concerned” or “affected person

You have the right to request information about the personal data we process about you. When requesting information, we ask for your understanding that we may require proof from you that you are the person you claim to be.

Furthermore, you have a right to rectification or deletion or to restriction of processing, insofar as you are entitled to this by law – you have a right to object to processing within the framework of the legal requirements, the right to data portability and the right to lodge a complaint with a competent supervisory authority.
